Booking Conditions

BOOKING CONDITIONS
Please read the following Booking Conditions carefully. Vegan Travel Asia by VegVoyages only accepts bookings subject to these conditions. The terms, conditions, and provisions outlined below in this agreement (“the Agreement”) apply to all tours and adventures provided by Vegan Travel Asia by VegVoyages, a company registered with its head office in Georgetown, Texas, USA (“the Company”).

By submitting a booking request along with the non-refundable deposit of US$350 (three hundred fifty dollars) or US$500 (five hundred dollars) for trips co-hosted with VegNews Magazine, you (“the Client”) acknowledge that you have read, understood, accepted, and agreed to all the terms, conditions, and provisions contained in the Agreement.

It is understood that all provisions of the Agreement, in whole or in part, are governed by and subject to the laws of the United States of America. The Client and the Company agree to submit to the exclusive jurisdiction of the courts of the United States regarding any claim or matter arising under the Agreement.

The Client and the Company agree that the Agreement and all its terms and conditions will take effect once the Company has accepted the Client’s booking request, confirmed receipt of the Client’s non-refundable deposit, and issued an Adventure Confirmation Receipt. Once the Company has confirmed the receipt of the non-refundable deposit, no changes to the listed adventure price will be permitted as per the Agreement.

The Client making the booking (which is subject to the terms of the Agreement) warrants that they have full authority to do so on behalf of all persons named in the booking. The Client confirms that all persons included in the booking are aware of and accept the conditions of the Agreement. The Company reserves the right to decline any booking at its discretion as outlined in the Agreement.

PRICES & PAYMENTS
The Client understands that all prices quoted are in United States Dollars. The Client acknowledges that the booking deposit of $350 (or $500 for trips co-hosted with VegNews Magazine) is NON-refundable. The Client agrees that the remaining balance of the adventure cost must be paid in full no later than 75 days before the adventure’s commencement date. Additionally, if the Client is booking a tour that departs in less than 75 days from the date of booking, full payment is required within one week of submitting the booking form.

CHANGES
Changes made by the Client to their booking date(s) will incur an amendment fee of $150 (one hundred fifty dollars), plus an additional $100 if the trip booked includes a local flight (in Thailand, Nepal, and Malaysia). If the Client decides to transfer their tour date(s) to a later date, any discounts received on the original booking will be forfeited, and the Client will be responsible for paying any difference in fare.

The remaining balance of the deposit should be used within 12 months from the original booking date. Changes and/or refunds for extra hotel nights can be made without any additional charge, provided that any requests are submitted at least 15 days before the scheduled hotel reservation date. Refunds for unused hotel nights will not be issued unless notification is received at least 15 days before the scheduled reservation date.

The Client understands that any changes to the original booking must be confirmed in writing (via email, postal mail, or signed fax) by the individual who made the original booking and must be accompanied by any applicable amendment fees as outlined in the Agreement.

The Company will make its best efforts to operate all adventures and tours as advertised. However, by entering into the Agreement, the Client accepts that it may be necessary or advisable to vary, alter, or modify an itinerary and its contents due to prevailing local conditions. The Company reserves the right to cancel or change, at any time, the facilities and/or services (including but not limited to transportation, accommodations, sights, and other arrangements) and to substitute alternative arrangements of comparable monetary value, comfort, and quality standards without compensation to the Client. The Company accepts no liability for any loss of enjoyment resulting from these changes.

The Company also accepts no liability or responsibility for any airline cancellation fees or other fees not directly paid to the Company by the Client. The Client understands that it may be necessary to adjust the sequence of an adventure itinerary and some destinations en route due to poor road conditions, weather, acts of civil strife, changes to transport schedules, or other prevailing local conditions. The Company cannot be held liable for loss of enjoyment resulting from such delays, cancellations, or adjustments.

CANCELLATION BY THE CLIENT
The Client can cancel their adventure at any time providing that said cancellation is communicated in writing (via email, post, or signed fax). Cancellation charges will apply as mentioned herein,

Cancellation Fees:
75 days or more: loss of deposit.
74 – 50 days: 50% (fifty percent) of total adventure cost.
49 – 35 days: 75% (seventy-five percent) of total adventure cost.
34 – 0 days: 100% (one hundred percent) of total adventure cost.

Furthermore, the Client hereby understands and agrees that the Company will bear no responsibility for airline rescheduling and/or cancellation fees charged by the airline and/or their assigned agents or representatives.

CANCELLATION BY THE COMPANY
The Company’s adventures are guaranteed to depart on the dates confirmed by the Company to the Client at the time of the Client’s booking. If for some unforeseen reason due to circumstances outside of the control of the Company, such as extremely adverse weather conditions, civil strife, or any other reason the Company may feel the safety and smooth progress of the adventure will be affected, is to take place and force the Company to cancel the adventure, the Company will advise the Client of such cancellation immediately. In such cases, the Company hereby agrees to offer the Client alternative arrangements; if the Client does not accept these arrangements then the Company will refund all payments made by the Client to the Company. However, the Company will not be held liable for any additional costs, charges, fees, and/or expenses the Client may have incurred outside those payments made directly to the Company by the Client.

TRAVEL INSURANCE
The Client must be covered by insurance, which must include adequate coverage for trip cancelation, medical expenses, and the cost of repatriation should the Client become too ill to continue, including helicopter rescue and air ambulance. If the Client joins the adventure without adequate insurance, the Client may not be allowed to continue on the adventure, with no right of refund. The Company also recommends that the Client obtain additional insurance coverage for cancellations, curtailment, and loss of luggage and personal effects. The Company recommends full comprehensive coverage. It is the sole responsibility of the Client to obtain and purchase said insurance coverage. The Company shall bear no responsibility for loss or any expenses incurred by the Client with or without full and adequate coverage as per the Agreement.

GENERAL TERMS & CONDITIONS

Person(s) over the age of 80 (eighty) years of age may be required to provide the Company medical evidence of fitness to travel. The Company cannot accept any unaccompanied minors (those under the age of 18 (eighteen) years). Any Client suffering from illness or disability or undergoing any treatment for any physical or medical condition must declare the true nature of such condition to the Company at the time of booking and plan for the provision of any medication or other treatment that may be required during the adventure. Failure to make such a declaration by the Client will constitute a breach of the Agreement and result in the Client being excluded or removed from the adventure with no right of refund. By completing the booking form, the Client agrees that if necessary, the Company may pass the contact details of the Client to any third party connected with the operation of the specific adventure on which the Client has booked. This information will not be used for any other purpose, nor will it be passed to any other parties. The Client hereby agrees to accept the authority and decisions of the Company’s adventure leader(s) while on the adventure with the Company. In such cases, the Company shall bear no responsibility for any charges and/or fees incurred by the Client before, during, and/or after the adventure. Ultimately, it is the responsibility of the Client to ensure they have all the necessary travel documentation required for the adventure.
